Automated Reminder Emails

Bonterms can automatically send Reminder emails to the party that currently needs to take action on a Deal.

Reminder emails help keep Deals moving without requiring Users to manually follow up with counterparties.

Organizations can:

  • Enable or disable automated Reminder emails
  • Configure the Reminder cadence for all Deals
  • Allow Deal Owners to override Reminder settings on individual Deals
  • Send an immediate Reminder email manually from the Dashboard

Configure automated Reminder emails

Only Admins can configure Organization-wide Reminder settings.

To enable Reminder emails across all deals:

  1. Go to Settings > General > Reminders
  2. Enable:
    • Allow reminder emails for my Organization and counterparties
  3. Configure your Reminder cadence - Days before sending first reminder and Days between reminders
  4. Click Save

Days before sending first reminder

Determines how many days Bonterms waits before sending the first Reminder email. Note: If you set this to 0 it effectively disables it.

 

Days between reminders

Determines how often additional Reminder emails are sent after the first Reminder. Note: If you set this to 0 only one reminder will be sent out.

 

Allow senders to override this setting

Allows Deal Owners to customize Reminder timing for individual Deals, overriding the global settings.

 

Modify Reminder settings for a Deal

If your Organization allows Reminder overrides, Deal Owners can update Reminder timing for individual Deals.

To update Reminder settings for a given Deal:

  1. From the Dashboard, locate the Deal
  2. Click the Reminders icon on the far right:  
  3. Select Send Automatic Reminders
  4. Update the Reminder cadence
  5. Click Save

The Deal will now use these Reminder settings instead of the Organization defaults, and you will see the date the reminder was last sent.

 

Send a Reminder immediately

Deal Owners can manually send a Reminder email at any time from the Dashboard. This sends a Reminder email to the party currently responsible for the next action on the Deal.

To send a Reminder immediately:

  1. Locate the Deal on the Dashboard
  2. Click the Reminder icon:
  3. Click send Reminder Now

The counterparty will immediately receive a Reminder email for the Deal.

 

Last Sent Reminder information

When sending a Reminder manually, Bonterms displays when the most recent Reminder email was last sent.

This helps prevent:

  • Sending duplicate reminders too frequently
  • Accidentally over-notifying counterparties

 

Notes

  • Enabling automated reminders applies to both new and existing Deals
  • Individual Deal Reminder settings override Organization defaults
  • Reminder emails are different from the original Deal invitation email
  • Manual Reminder emails do not resend the original Deal invitation
